Privacy Policy

This Privacy Policy describes how Book Me In (“we”, “us”) collects, uses, and shares information when you use our mobile apps and website (the “Service”).

1. Who we are (accountable person)

Book Me In helps customers book appointments with service providers and helps providers manage services, availability, and bookings.

2. Information we collect

Depending on how you use the Service, we may process:

• Account data — email address, display name, password (stored by our auth provider), optional phone if you enable SMS features.
• Profile & business data — role (customer or service provider), service names, prices, availability, timezone.
• Booking data — service, date/time, duration, status, names and emails related to a booking.
• Communications — transactional emails about bookings and account events; optional schedule digests/reminders only if you enable them; support messages you send us.
• Technical data — device/app identifiers, basic diagnostics, and logs needed to operate Firebase Authentication, Firestore, and Cloud Functions.

3. How we use information

• Create and secure accounts; verify email when required.
• Provide booking, calendar, and notification features.
• Send transactional email (requests, confirmations, cancellations).
• Send optional reminders/digests only when you opt in under Account.
• Prevent abuse, enforce rules, and improve reliability and security.
• Respond to support requests and legal obligations.

We do not sell your personal information. We do not use analytics, advertising, or tracking SDKs in the Service.

4. Sharing

We share data only as needed to run the Service:

• Between booking parties — e.g. a provider sees the customer name/email for a booking; a customer sees provider/service details.
• Service providers we use — Google Firebase (Authentication, Firestore, Cloud Functions, Hosting; processing in the United States), Amazon SES (email, AWS us-east-1, United States) and/or Resend (email delivery), and Apple/Google for app distribution.
• Legal — if required by law or to protect rights and safety.

4A. AI voice assistant (business accounts)

• What it does. Business accounts can choose to talk to an AI assistant on bookmein.club to set up services and hours, add time off or special hours, and look up a customer's past bookings. It's optional, and everything can be done without it.
• Who processes it. Your voice is streamed live to our AI provider, xAI, which turns it into text and replies. Processing happens in the United States.
• What is sent. Your voice; your business snapshot (services, hours, setup status, booking counts); and, if you look up bookings, the matching customers' name, email, service, status and booking time. Booking notes are not sent. To create service icons, we send the service name to xAI's image service.
• Storage. Book Me In does not store voice audio. Captions are shown on your screen only. xAI processes data under its own API terms; see x.ai/legal.
• Changes. The assistant makes changes only through the app's normal features. It can't accept, decline or cancel bookings.
• Usage records. We record when you use the assistant and how much (session time and actions) to run fair-use limits and control costs.
• Consent. We ask before turning on your microphone. You can choose to type instead, and you can stop at any time.

5. Retention

• Account data — while your account is active; deleted when you delete the account (or shortly after a verified email deletion request).
• Email delivery copies (`mail`) and notification history — typically up to 90 days, then removed or anonymized (TTL / purge).
• Support/feedback — deleted with your account when associated with your email, or on request.
• Bookings — kept as needed for the other party’s records; your name/email on your customer bookings are redacted on account deletion.
• Bounce/complaint suppressions — kept as needed for email compliance.

You may delete your account in the app (Account → Delete Account) or request deletion without logging in.

6. Security

We use industry-standard measures (including HTTPS and managed authentication). No method of transmission or storage is 100% secure.

7. Children

The Service is not directed to children under 13 (or the minimum age in your region). We do not knowingly collect data from children.

8. Your choices

• Update name/email in Account settings.
• Optional reminder/digest emails are off by default; turn them on only if you want them (Account).
• Sign out or delete your account in the app (Account → Delete Account).
• Request deletion of your account and/or associated data (email, no login required).

9. Your rights

Subject to applicable law (including PIPEDA and, where applicable, Quebec Law 25), you may request access to, correction of, or deletion of your personal information, and you may withdraw consent for optional processing (such as reminder emails). We aim to respond within 30 days.

You may also complain to the Office of the Privacy Commissioner of Canada and, for Quebec residents, the Commission d’accès à l’information du Québec.

10. International processing

Personal information may be processed in the United States by Google Firebase, Amazon Web Services (SES, us-east-1), Resend, and xAI (AI voice assistant and service icons). Transfers are necessary to operate the Service. For Quebec users, we assess and document risks related to such transfers as required by Law 25.

11. Breaches

If a breach of security safeguards creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by PIPEDA, and keep a record of breaches for at least 24 months.

12. Changes

We may update this policy from time to time. The “Last updated” date at the top will change. Material changes will be highlighted in-product or by email when appropriate.
